Information notice for interview participants
Draft pending review by Belgian privacy counsel. Last updated: 27 October 2026
A company (your employer or a client organisation) has invited you to take part in an organisational design project run with LaimonTree: an interview with an AI interviewer and some preparation tables. This notice explains what happens with your data (Article 13 GDPR). The version linked in your invitation names the company concerned. You are not asked to consent. Taking part is voluntary, and so is each answer.
1. Who is responsible for your data
- The company that invited you is the controller of your interview data.
- Digiscope BV, which operates LaimonTree (Laimonade), processes it on the company's behalf under a data processing agreement (Article 28 GDPR).
- The Organizational Design Consultant supporting the project usually acts as a processor too.
- For the single purpose described in section 6, Laimonade is the controller.
2. Why your data is used
The company wants an accurate picture of how work is organised today, from the people who do it, in order to design a better organisation: criteria, scenarios and unit charters. The result concerns roles, activities and how teams depend on each other. It is not used to assess your individual performance.
3. Legal basis: legitimate interest
The legal basis is the legitimate interest of the company (Article 6(1)(f) GDPR), not your consent. The company documents that interest, why the processing is needed and how it weighed it against your rights in a legitimate interest assessment; you can ask the company for a summary. You can decline, skip any question, pause or stop at any time, with no consequences for you.
4. What data is collected
- Your voice and the transcript of your interview.
- Your preparation tables (for example an activity log, a list of outputs, a list of recurring meetings) and your identification (name, role, team).
- Notes the consultant takes in the Guidelines, and the comments or answers to follow-up questions you add.
- Your email address, used to send your personal link.
5. Who can see it
Only you and the Organizational Design Consultant can read your transcript. Nobody else at the company gets access to it. Service providers that host the platform, deliver email and run the AI that conducts the interview process data on our behalf under contract; the list of these service providers is available on request.
6. Anonymised insights (Laimonade)
Laimonade may keep insights about how organisations are structured, with nothing that could identify you or your company, to improve Laimon. Raw transcripts are not used for this. This is a separate purpose for which Laimonade is the controller. If you object (section 8), your data is excluded from it.
7. How long data is kept
Transcripts and preparation tables are kept for the duration of the project and for the retention period agreed between the company and Laimonade, then deleted. Anonymised insights are not personal data and may be kept.
8. Your rights
You have the right to access, rectify and erase your data, to restrict its processing, and to object. Contact the company or [email protected]. You can object at any time using the separate objection link in your invitation. Objecting deletes your transcript and preparation data and excludes you from the anonymised reuse. Insights that were already aggregated and de-identified in the project's Diagnostics cannot be unpicked. You can also lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données).
